Move-Out Instructions and Security Deposit Return Letter
This is an incredibly useful product designed to help Landlords remain compliant with Pennsylvania law regarding the return of Tenant's security deposit. This document is composed of five separate parts:
First, you will see a Tenant Move-Out Organization Sheet. This page is for your record-keeping purposes. When you fill out this page, the fields in the rest of the document fill-in automatically.
Next is the Tenant Move-Out Procedure Letter. This letter informs your tenant about your expectations upon move-out. It covers helpful items like who to contact to return keys, reminders to clean the entire rental unit, how to handle electric or gas utility accounts, and a note about your right to show the unit to prospective tenants. Most importantly, this letter also contains a statutory notice regarding personal property that is left in the rental unit.
With the move-out procedure letter you will also send your tenant a move-out form, for them to return to you and which details the move-out date, their forwarding address, email address and contact information. This letter also contains the statutory notice regarding personal proeprty that is left in the rental unit so you have evidence that the Tenant received the Notice.
The following page is a certificate of mailing for proof of service of your requests and the Notice.
Finally, this document has a letter regarding the tenant's security deposit. This letter informs the tenant of any charges you made at the end of their lease. Most importantly, this letter helps you stay compliant with Pennsylvania's Security Deposit Return law that requires Landlords to return the unused portion of a security deposit to the tenant within 30 days. Accompanying this letter is an auto-filled Certificate of Mailing that you can use as evidence of when you returned the security deposit to the tenant, or, when you sent this letter explaining why there was security deposit left.
This is a must-have form for every Pennsylvania landlord who is dealing with the return of a Tenant's security deposit and move-out.
